A handover someone can use

Help the next team get started with current files, unfinished tasks, key dates and a clear list of who does what.

The situation

You’re handing over a campus role. There are files everywhere, a few tasks still in progress and some deadlines the next team might not know about.

Your decision

Leave notes that explain what’s happening now and what the next team needs to decide.

Before you respond

  • Which files are up to date, and what is each one for?
  • What have you promised to do, and what still needs a decision?
  • Who handles account access and approvals?

Work through it

  1. Keep current files separate from old examples.
  2. For each unfinished task, list who’s responsible, what happens next and any key date.
  3. Walk the next team through the notes. Follow your organization’s process for transferring access.
Consider a possible response

“This is the latest plan. These two tasks still need doing, and here’s who to check with before you start. Let’s go through the notes together.”

This is one way to respond. Adapt it to your group, your responsibilities and the people involved.
